Poster Presentation Guidelines


(Read Carefully - New Process This Year)

  • Poster presenters will be assigned to one of our two separate poster presentation sessions:
    • Session 1: Wednesday, April 18, 1:00 PM - 2:00 PM
    • Session 2: Thursday, April 19, 1:00 PM - 2:00 PM
  • Set-Up and Take-Down:
    • Your poster must be up no later than 7:00 AM the morning of your assigned session
    • Your poster must be taken down no later than 5:00 PM the evening after your session
  • The presenters of the top five peer-selected posters will be notified Thursday evening
  • The five selected finalists must put their posters back up by 7:00 AM Friday morning for review
  • Final judging will take place at 2:00 PM Friday afternoon
  • A “Best Research Poster” award will be announced during the AACOM Awards Banquet on Friday evening

Important Information

  • We changed the way we operate our poster presentations this year to better serve our presenters—this new format ensures that all poster presenters get dedicated time to showcase their work
  • Posters that are left up after the take-down deadline will be collected and disposed of
  • PDF versions of posters must be uploaded to AACOM’s “Upload Your Poster PDF” folder no later than Wednesday, February 28. (see screenshot)
    How to upload a poster PDF file
  • PDF files should be named using the following naming convention, depending on your assigned poster presentation session:
    • PrimaryAuthorLastName_day1” or PrimaryAuthorLastName_day2
  • If you are presenting more than one poster on the same day, please add "a" or "b" as part of the naming convention: 
    • "PrimaryAuthorLastName_day1a" and "PrimaryAuthorLastName_day1b"
  • All electronically-submitted posters will be posted on the AACOM website after the conference
  • Posters will be arranged by topic area
  • The “Best Research Poster” award includes a monetary prize
  • At least one poster author is expected to attend Educating Leaders 2018, the AACOM Annual Conference, and pay applicable registration fee
  • AACOM will not pay the expenses of poster presenters
  • One of the authors, or a member of their organization, must be present at the poster during the scheduled presentation session
  • Please email if you anticipate that you will not meet the digital upload deadline or have any questions

Poster Creation Instructions

The total size of your poster may not exceed 42” high by 42” wide.

  • Please keep your posters within this size limit to avoid encroaching on neighboring poster space. There will be two posters per side, per board.
  • Handouts may be pinned at the bottom of the board.

Poster Material

  • The poster may be mounted on rigid material or un-mounted sheets that can be pinned directly to the poster board. 

Poster Essentials

  • The presentation title, the author(s) and institution affiliation(s) should be placed at the top of the poster
  • Do not write or paint on the poster board


  • Accompanying handouts are highly encouraged
    • Handouts are the presenters' responsibility
    • Copying services are available at the hotel

Design Tips

  • Illustrations should be readable from distances of three feet or more  
    • Your poster should be self-explanatory, and the viewer should be able to follow the progression easily 
      • Try to keep everything as simple as possible
      • Captions and labels should be brief and easily understood
      • The simple use of color can add emphasis effectively
    • Use a type for the body copy that is at least 1/4" high 
    • Use Bold Type for heads and subheads that is at least 3/4" high
    • Include text and figure legends, but keep them short
    • Charts, drawings, and illustrations should be similar to those you would use in making slides
